How to organize a race

I have had our district PWD fall into my lap. We did not have a track to race on until I found one this morning, a frind owns a track and is goingt o come run the race with it. I am not trying to organize the rest of the event. i would say we usually have around 50 cars but could have up to 75 from the best year I have seen it. We break down classes by den type with Webelos split into 1st year and 2nd year. We award a 1st, 2nd, 3rd place in each along with an over all 1st, 2nd, 3rd place ranking based on time also. so that is 18 tropheys we need at the least. We do not charge for kids to participate at all becasue that would actually hurt attendance in our area. I have sen where people get a sponser and that helps with the cost of the awards and such. I have also seen some pretty amazing awards given out. I need some help with letters and how to go about getting businesses to sponser something like this. Also I need to know if you guys have ordered awards online and what all you have gotten so I can try to make this a good event. Our race will be sometime in march but I have not got a date set. The track we are using is a best track so I am real excited about that.
 
I've never had any experience with this myself. I'm sure their are some people that have though. Just be patient waiting for answers. Just because you may not get many answers doesn't mean that people aren't willing to help. They just may not know. /images/boards/smilies/smile.gif
 
I have not done this for scouts, but I have done it for other things. The biggest thing is just ask everyone and dont get hurt if they so no, just move on to the next one. Ask trophy stores, scout shop, sporting good stores, ect. Generally, most store have merchandise they throw away and are willing to donate if you catch them at the right time.
 
Are there any stores where you're a regular? Auto parts stores, hardware stores, etc. You may have better luck with a locally owned place, someone who's invested in the community. Try the big local HVAC company, insurance agents, restaurants, auto body shops, real estate brokers, car clubs, etc. If you're sending letters, be sure to proofread and spell check them so they look professional!

If you can't get one large donation, maybe have a sponsor for each class? Put their name on it so they get a value in return. (As long as there's no conflict with your scout rules) If a sponsor only has to buy three trophies and a few participant ribbons or medals they might be more likely to buy in.

Our Pack used the money we earned from popcorn sales to get trophies and pay for the snacks. I ordered our trophies 1st, 2nd, and 3rd for each den, plus a 1st, 2nd, and 3rd for Pack Championships (top three from each den compete for the overall win) from Dinn Trophy for ~$125 shipped, as I recall. We also spent another $65-ish on medals for the "looks most like a turnip" awards.

Ohhhh.... *District*... Here, we have had various Packs from around the city bring in their tracks. We have a track for each level (Tiger, Wolf, Bear, Web 1, Web 2) and another track from Dads and Sibs. We have always charged to enter, here. It had been $7/car, but they raised it to $10 last year and attendance was down.

Car dealerships, restaurants, insurance companies will often be willing to sponsor. Think of a NASCAR type of feeling there.

I've been meaning to give a picture of our winning car(s) to my tire shop with a "Powered by Peerless!" or "Winners Use Peerless" title on it as thanks for the free lead on our (my son's) District Champion cars. I'm sure you'll be successful in landing some sponsorship monies.
